Coolwatcher processes personal data carefully and in line with the General Data Protection Regulation (GDPR). This statement explains which data we collect, why, how long we keep it and what rights you have. If you still have questions after reading it, please get in touch.
Data controller
Coolwatcher is the data controller for the processing of your personal data as described in this statement. You will find our contact details at the bottom of this page and on our contact page. For privacy questions you can reach us directly at the email address provided.
Which data we process
We process the data you provide yourself and the data needed to deliver our service. This includes your name and company name, email address and phone number, billing and address details, and the number of fridges or freezers. For the service itself we process measurement data from your equipment, such as temperature readings, timestamps, alarms and the answers you give to an alert over WhatsApp. This measurement data concerns your cold storage, not individual people.
Purposes of processing
We use your data to deliver and maintain the service, to warn you when a reading falls outside the norm, to build your HACCP records and the corrective action log automatically, to send invoices and to contact you when you ask us to. We never sell your data to third parties and do not use it for purposes not described in this statement.
Retention period
We do not keep your data longer than necessary. Measurement data and HACCP reports are kept for the duration of the agreement and afterwards for as long as legally required or practically needed for your records. Invoice data is kept for seven years under the statutory tax retention obligation. Contact requests are kept for as long as needed to handle your question.
Servers in the EU and the GDPR
Your data is stored and processed on servers within the European Union. We have taken appropriate technical and organisational measures to protect your data against loss or unlawful use. All processing takes place in accordance with the GDPR.
Data processing agreement
To deliver the service we engage a number of processors, for example for hosting, telecom over the NB IoT network and sending messages. With each processor we conclude a data processing agreement stating that they only process your data on our instructions and secure it appropriately. Business customers can conclude a data processing agreement with us on request.
Rights of data subjects
You have the right to view, correct or delete your data. You can also object to processing, request restriction and have your data transferred. If you wish to exercise one of these rights, send us a message. We respond within the statutory period. If you disagree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority.
